Asset File Cabinet

Users can upload helpful files to associate them with particular assets. Every asset has an asset file cabinet to store associated files such as manuals, general Information, etc. Other users can then download those files from the asset file cabinet as needed.

Search for Files

To search for files in the asset file cabinet:

1. Enter a string of characters that matches a file you are looking for in the search field.

Upload Files

To upload files to the asset file cabinet:

1. Go to the "Assets" screen by clicking on the "Assets" button on the left hand navigation bar.

2. Find the asset you want to add files to and click the asset ID name in the asset Id column of the results grid.

3. On the "View Asset" page click the "File Cabinet" button with the paper clip icon in the top right corner of the screen.

4. In the file cabinet click the "Upload Files" button.

5. In the attachments area you can click the "browse files" or "My Device" buttons to browse for a particular file you wish to upload.

6. Select the file you wish to upload and your file will then be put into the staging area.

7. Select the "+" button if you wish to add more files to the staging area before uploading them to the Asset File Cabinet.

You can also click the "Remove" button next to any file in the staging area that you wish to remove.

8. Optionally, select the "Edit" icon to modify either the file name or the file description before uploading.

9. In the editing window, you can edit the file name in the "Name" field and you can add a description in the "Description" field.

Click the "Save changes" button to save your file property changes.

To exit the file property editing window without making any changes you can click the "Cancel" button at anytime.

10. Once you have the files set. Click the "Upload" button.

11. After receiving confirmation that the files were successfully uploaded, click the "Save" button.

Upload Files from Camera

Alternatively, the user can upload image files taken from the user's camera.

To upload image files taken from camera:

1. In the upload files window, click the Camera button.

Google may prompt you to give ProFile permission to use your computer's camera. To upload files directly from the camera you will have to allow access.

2. In the Import from Camera window you can select the "Camera Button" to take a picture of what the camera is currently viewing. This will then put the new image file in the staging area.

3. Alternatively, click the "Record" button to record a video with the computer's camera. While recording you can click the "Stop" button at any time to stop the recording. 

4. In the preview window you can click the "Three Dot" icon to access multiple video playback options before sending the video to the file staging area.

5. If satisfied with the video click the "Checkmark" icon to submit the recording to the file staging area.

If you are not satisfied with the recording click the "X" button to discard the recording.

Download Files

To download files from the asset file cabinet

1. From the asset's "File Cabinet" screen click the "Download"  button next to the file you wish to download. This will download the file from the browser into your designated downloads folder.

Remove Files

To remove files from the asset file cabinet:

1. Click the "Remove" button (trash icon) next to the file you wish to remove from the Asset File Cabinet.

Upload Asset Documents

This chart illustrates the default role/permission configuration for the ProFile application. A green check means that the role is allowed to perform the action. A red circle means that the role cannot perform the action. Note that your experience may vary, as these roles are customizable. Please contact support if you have any specific questions.

Delete Asset Document Permissions
