Managing Work Orders
Preparing Work Orders
Work orders will need to be marked as ready for work on the Prepare Work Order form. The fields associated with a work order:
- Asset - The name of the associated asset
- Work Order Category - Category of the work order
- Location - The location of the work order
- Due Date - The date on which work order completion is due
- Requisitioner - Username of whomever requisitioned the work order
- Request Date - The date of the work order requisition
- Req Cycle Count - The cycle count at time of work order request
- Priority - The work order priority
- Assigned To - User that is assigned to work order
- Work Requested - Description of work order that is requested
- Requires Manager Approval - Checkbox that determines if a manager needs to approve the work order as a completion requirement
- Requires QA Sign-off - Checkbox that determines if QA needs to sign-off on work order as a completion requirement
To prepare a work order:
1. Click the "Manage" button from the work order grid on any work order entry that is in "Created" status.
2. Review or edit the fields in the "Prepare Work Order" form.
3. Click the "Mark as ready for work" button to move the work order status from "Created" to "Ready for Work".
Starting a Work Order
To start working on work order:
1. Click the "Manage" button next to any work orders that are in "Ready for Work" status.
2. Click the "Start working" button on the "View Work Order" form to change work order status from "Ready for Work" to "In Work".
Completing a Work Order
To complete a work order:
1. Click on manage next to a work order with "In Work" status.
2. Click on the "Log Time" button to log labor hours.
3. Enter a value for the hours worked and click "Log Time".
3. Add a description of the work performed in the "Work Performed" field and select a work type from the "Work Type" dropdown.
4. Click the "Mark as Done" button to change work order status from "In Work" to "Closed".
Work Order Attachments
Attachments can be added to work orders from any of the work order management forms by clicking the paper clip icon button.
To view an activity log pertaining to the selected work order click the "Activity Log" button from any of the work order management forms.
The activity log shows timestamped events of work order status changes as well as hours logged events.
Work on Work Order Management Permissions
This chart illustrates the default role/permission configuration for the ProFile application. A green check means that the role is allowed to perform the action. A red circle means that the role cannot perform the action. Note that your experience may vary, as these roles are customizable. Please contact support if you have any specific questions.
