Managing Roles

The ProFile application secures access to resources using roles and permissions. A role consists of one or more permissions. Users are assigned to specific roles and through this relationship are granted permissions to use various components of the system. For more information about roles and permissions, please review the "Users, Roles, and Permissions Overview" document.

The ProFile application includes several roles out of the box, but you can create additional roles or manage the configuration of the default roles to suit your needs.

You can manage roles in ProFile in the Manage Roles section within the Administration screen. The set of permissions per role can be edited and customized.

Note that role management is limited to certain roles. Please review the permission matrix at the bottom of this document to understand which roles are allowed to manage roles.

Accessing the Manage Roles Section

To access the "Manage Roles" section:

1. Click the "Administration" button in the left hand navigation bar and select the "Manage Roles" button under "User Access Control".

Editing Role Permissions

The role permissions are presented in logical groupings of types of permissions within ProFile such as:

  • System Administration
  • Client Hierarchy Management
  • Plant Management
  • Work Order Management
  • Asset Management
  • Preventative Maintenance Checklists
  • Production Orders

To edit role permissions:

1. From the list of roles click the pencil icon to edit the role.

2. Check or un-check any permissions you wish to grant or take away. A checked box indicates that permission will be granted and an unchecked box will make sure that permission is NOT granted.

3. When done editing the role, click "Save".

Adding New Roles

You can add new roles to the system. The roles are available to all enterprises and plants at your client.

To add a new role:

1. Click the "Add Role" button.

2. Check any permissions you want to grant and uncheck any permission you do NOT want to grant.

3. Click "Save".

Manage Roles Permissions

This chart illustrates the default role/permission configuration for the ProFile application. A green check means that the role is allowed to perform the action. A red circle means that the role cannot perform the action. Note that your experience may vary, as these roles are customizable. Please contact support if you have any specific questions.
